What does it take to leverage ECM?
More complexity, features, money a magician? No, SharePoint 2010 and Office 2010 of course. Why? Ease of use, flexible compliance (see demo) and its cost effectual. You need a program director, you need an investigator that knows about compliancy and the needs from the business, an architect or engineer, someone who helps user to know the added value.
Microsoft vision about ECM means that you bring together, user experience (PC, phone, browser), traditional make pleased management, social networking and collaboration. So how to make that possible?
Demo 1: document center
The demo is about a document center. On the upstairs hallway page you will see what is happening on your repository. It shows newest ID, document recent modified by yourself and a unique document id. When you go in to the document library you will see for instance make pleased tagging and rating for each document but also on the left side navigators. Take for instance the metadata navigator which will allow you to drill down the document consequences by a taxonomy of metadata, set up by the site collection owner. This is very fascinating because it will lead you much quicker to the info you need.
You can open a document directly into the browser with the Office applications. By by search you can also select by type (e.g. Word) but also by tags. If you switch to the social context you can quickly switch to the My Site of a person. There you can find info on the persons most recent activities like tags, ratings, uploads, blog posts etc. You can also leave a message for that person or browse the persons organizational hierarchy. Posted messages will appear on the note board of that person.
The value of metadata
You can make taxonomies and folksonomies and social relationships all through metadata. Metadata drives discovery and action. Entering metadata is really reasonably simple by by the metadata picker. Example, when you want to select a location, browsing the geography taxonomy feels like expanding and collapsing nodes in a tree view structure.
Managing metadata can be down by the site owner through the site settings. The nice thing is that you can export the taxonomy to Excel edit it and import again. You can also choose if the taxonomy is available for tagging or not. Next to that you can add synonyms or even taxonomies that support multiple languages. Keyword is the real source of all. Keywords may be used with tagging or in taxonomies. Updating a keyword means that you update all of the taxonomies that make use of it.
Demo 2: document sets, Office, SharePoint workspace
The presenter shows how you can make a document set by checking a number of ID. He also shows the drag and drop area that now is part of the upload new document form. A nice alternative for uploading multiple ID. Back to the document set: reflect about a document set as an archive file. It can have metadata, permissions, workflow, you can route it etc.
The Connect To Office button allows you for instance to add your site so that it appears within Office applications. The next time you want to save a document you can select it from the Share –> My SharePoint sites pane within your Office applications.
The Sync to SharePoint workspace allows you to take offline your ID or even your complete site.
Demo 3: flexible compliance
How to deal with holds. Through Site settings you can select learn and hold make pleased. First of all you define search criteria. Like certain keywords. It will find many things like ID, wikis, blogs etc. You can apply minutes management everywhere and are not restricted to a site template. Next you can take the search consequences and choose what to do with it like Locally hold it or export it for instance. Finally you name your new hold and that is it. You can have multiple holds for a particular site. By by Excel you can get reports about holds. When a document is in a hold you will see that clearly marked in the owners column.
You can also also declare minutes in place. By by the Ribbon, selecting a document you can make minutes to lock it down. But you can also go it to a minutes center by making a center first. You can decline everything as a record like a blog post. You then can no longer interact with it etc.
Information policy sets is another feature. Policies can be inherited from its parent or unique on a particular level. Delete previous drafts after three years is an example of an information policy.
The make pleased organizer and rules. It provides auto classification based on metadata rules. You may possibly for instance make a rule that is about a point make pleased type, then add a property that is about for instance the size of the document better than 1 MB. You can then send make pleased bases on that rule to any site you choose. Reflect about this. Users can really send ID to a site and then the site decides where to store the ID!!
Workflow: more workflow activities around minutes management are available. You can now copy items to your minutes center for instance. So now you can build workflows that react to a certain attribute and trigger a workflow that routes the document to a hold for instance. By the way, the demo just showed a graphical representation of the workflow!
What is the right way to enforce compliancy
In an archive? In place? Or a mix? The breadth is the key. All make pleased is equal and discoverable. It is no excellent to mention to point ID. Set search criteria and just look for all make pleased that can be anything like blog posts or wiki entries.
Demo 4: File server coexistence
Windows Server 2008 R2 has a file share store administrator that allows for applying metadata over the top of traditional file shares. You can also enforce rules. Example: Make pleased classified. It goes into the make pleased itself to identify how to apply metadata properties. It uses Ifilters to open make pleased. It is looking for social security numbers inside ID. If it finds it it will mark the make pleased as classified.
Finally you can promote the make pleased to SharePoint. With a powershell speech it connects with the Official File Interface of SharePoint, reads the make pleased from the fileshares and loads it into SharePoint that satisfy the rules you have defined.
The awesome thing is that the Make pleased organizer is executing the rules when the files are uploaded from the file share. Classified info has been learned inside ID, pictures etc. The make pleased was went to a folder and restrictions were involuntarily restricted. All through the use of rules.
Manage the unmanaged
Bring fileshares and SharePoint together. Define what goes where, migrate make pleased as required and define an ongoing strategy.
Demo 5: rich media management
Videos, images etc. How to manage that within SharePoint. When you browse videos you can browse them with the metadata navigator. You can show images with a Lightbox kind of functionality. Play videos directly from within the browser.
There is also a wonderful Office integration. If you want to incorporate videos in your PowerPoint presentation for instance you can select the video by a picker directly from PowerPoint. It shows thumbnails for videos as well.
Inserting videos on publishing pages is simple. Just select the manage media button from the Ribbon, set the properties like if the video should start playing involuntarily and height and width, that is it.
